This notice explains, in plain language, what personal information we collect through this website and when you contact us, why we use it, and how you can ask us about it. It is general information, not legal advice. It does not create extra rights, fees or penalties. If we later work on a client file, that work is covered by a separate written note with the practice or company that instructs us.
1. Who we are
Fine Books operates from Coimbatore, India. For privacy questions, email [email protected] or call +91 96005 40376. We treat that inbox as the contact point for access, correction, deletion and other privacy requests.
2. What this notice covers
This notice covers personal information you give us when you:
- use the contact form (name, email, practice or company name, and your message);
- email, telephone or WhatsApp us;
- browse this website (technical data such as your browser type may be created by the server as part of normal hosting).
It does not try to describe every ledger, payroll or client record we may see later if you instruct us. That processing is limited to the work you ask us to do and is agreed in writing at that time.
3. What we collect
Depending on how you contact us, we may hold:
- your name;
- your email address;
- your practice or company name;
- the content of your message;
- a telephone number, if you call or message us;
- basic technical logs created by the website host (for example, date and time of a visit), which we do not use to profile you.
We do not ask this site for payment card details. Please do not send passwords or unnecessary personal details in a first enquiry.
4. Why we use it
We use this information only to:
- read and reply to your enquiry;
- send a quotation if you have asked for one;
- keep a short record of the conversation so we can follow up if needed;
- operate and protect the website (for example, to keep it working).
We do not sell personal information. We do not add enquiry contacts to a marketing list unless you clearly ask us to stay in touch for that purpose. You can ask us to stop at any time by emailing the address above.
5. Who we share it with
We share personal information only where it is needed to run the site or reply to you, for example:
- our website hosting and email providers, so messages can be delivered;
- the people at Fine Books who need to see the enquiry in order to answer it.
We do not share enquiry data with unrelated third parties for their own marketing. If a law or regulator requires us to disclose information, we will do so only to the extent we reasonably must.
6. Where it is processed
Fine Books is based in India. Enquiry information is typically stored and read in India. If you are contacting us from the United Kingdom or elsewhere, you understand that your message will be handled here. We take reasonable care with access to that information. We do not claim any particular overseas certification on this page.
7. How long we keep it
We keep enquiry records only for as long as we need them to reply and to follow up in a reasonable way. If no work follows, we delete or anonymise the enquiry when it is no longer useful. If you become a client, records needed for the engagement are kept as agreed in writing and for as long as we reasonably need them for that work or for a legal record.
8. How we look after it
Access is limited to people who need it for the purpose above. We use reasonable technical and organisational steps that are normal for a small professional services team. No method of sending information over the internet is completely secure, so we cannot promise that a message will never be intercepted.
9. Cookies and maps
This website is a static brochure site. We do not run advertising cookies or analytics tags on these pages. Your browser may still store small files that the site needs in order to work. The contact page can load a Google Map. Google may set its own cookies and collect data under Google’s terms when that map is displayed. You can block third-party cookies in your browser if you prefer; the map may then not load.
10. Your choices and rights
You can email us to:
- ask what enquiry information we hold about you;
- ask us to correct it;
- ask us to delete it, where we do not still need it to reply or to keep a lawful record;
- ask us to stop using it for follow-up that you no longer want;
- raise a concern about how we have handled it.
We will try to respond promptly and in plain language. If you are not satisfied, you may also use any complaint route available to you under the law that applies where you live, including (for people in India) the process published by the Data Protection Board of India when that channel is open to the public.
11. Children
This website is intended for practices and businesses, not for children. We do not knowingly collect personal information from anyone under 18. If you think we have done so, please tell us and we will delete it.
12. Changes
We may update this notice when our site or our practices change. The date at the top of this page shows the current version.
